Update Your Officers in the Student Organization Database

If your student organization has recently transitioned the President, Treasurer, Adviser, or any other officer positions, remember to update them in the Student Organization Database! Also, remember to check out and take advantage of all the useful features in the database, including:

  • Customizable website navigation menu, customizable footers, and page editor toolbar.

  • More user-friendly tools for organization management.

  • Streamlined processes for recognition and compliance agreement.

  • Better email notifications.

  • And more!

Resources and Opportunities for Organizations and Officers

Moving Forward: Fall Planning for Student Organization Meetings/Events

As you and your organization plan for the fall semester, you'll notice that most campus departments have returned to normal operations. All Iowa State facilities and venues have returned to normal meeting/event capacities. Face coverings are encouraged (but not required) for students, faculty, staff, and visitors when indoors around others (certain exceptions apply - see the Moving Forward website for info on where face coverings are still required). Students can find information about upcoming vaccine clinics at Iowa State's vaccination website.

Student organizations may proceed with planning for normal activities and functions. Student Activities encourages all organizations to be mindful and inclusive of varying individual comfort levels around attending in-person functions and to incorporate virtual alternatives when appropriate.

As a reminder, if you are planning an event that you want to promote to non-club members or the general public, you will need to complete the University Event Authorization process. You can find more information on Event Authorization HERE and in the University Event Authorization training available in the Student Organization Database.

Looking for Ways to Promote Your Club? Check out SAC's Marketing Resources

Whether you are advertising for an event or your organization in general, there are several marketing resources available to recognized student organizations through the Memorial Union and across campus. Most are free but a few have associated fees, so check out the complete list and pricing on our Student Organization Marketing Resources page. A couple updates for the fall semester:

  • Flyer Distribution Service: The updated number of flyers that can be distributed by the SAC is 235. All flyers must either have an event promotion date OR a distribution date printed or labeled by the ISU department or student organization.

  • Display Screens in the MUThe MU has replaced the old display cases on the first floor with new digital displays, ready to share your ads with the 38,000+ weekly visitors to the MU. Your ad will appear on screens throughout the MU, not just on the first floor. Digital display ads can be reserved for a week at a time at no cost to recognized student organizations.

  • Mass Email Approval: The SAC's mass email approval process for student organizations has moved to an online process. Once student organizations receive approval for this process, they can submit their request to the Solution Center HERE.

Apply Now for the Student Affairs Advisory Board

Senior Vice President for Student Affairs Dr. Toyia Younger wants you to apply to serve on the Senior Vice President for Student Affairs (SVPSA) Advisory Board. This unique opportunity allows you to share your opinions and perspectives directly with a senior leader at Iowa State on an ongoing basis to help improve the student experience. Board members consist of undergraduate and graduate students, represent all academic colleges, and embody the diversity of ISU. Students meet once per month with SVP Younger and respond to inquiries and provide feedback to questions online. Learn more and apply by August 27. This is a paid, ongoing leadership experience for students!

Student Government Audits Now Available in Workday

The reconciliation of student government allocations from fiscal year 21, (July 1, 2020 – June 30, 2021) has been completed and the process of distributing the Annual Allocations for FY22 has begun.  With access to Workday financial information, student treasurers and advisors have the ability to look at their transaction detail (instructions may be found on the Campus Organizations Accounting homepage).  If there was a withdrawal of funds, there is an attachment of the audit so that treasurers and advisors can see the line item detail of the spending in addition to a letter explaining the process.  If there is no transaction at all, that indicates that all allocated line items were spent.
